How do you follow up on roofing estimates without being annoying?

How do you follow up on roofing estimates without being annoying?

Sending the estimate isn't the end of the sale. It's the beginning of the homeowner's indecision. The homeowner receives your proposal, compares it with two others, gets distracted by daily life, and your estimate becomes a forgotten PDF. If you don't chase the estimate, you're paying for inspections just to hand the customer to your competitor.

The 11-touch rule

Studies on velocity and persistence in sales show that most deals close after multiple contacts, not the first one. In roofing, where the average ticket is thousands of dollars and the decision can take weeks, a 90-day follow-up sequence with 8 to 12 touches is the minimum responsible approach.

The right tone: helpful, not desperate

Follow-up works when every contact adds value. It doesn't help to send 'Have you decided?' every week. Every message should answer a question, reduce a doubt, or remind the homeowner of a benefit. When the customer feels you're helping them make an important decision, follow-up stops being annoying.

"Follow-up isn't pestering. It's customer service to someone who already asked for your help."

Automate the repetitive, keep the human touch

  • Automate confirmation messages, reminders, and value-add emails.
  • Calls should be human and personalized.
  • The CRM should automatically pause the sequence when a lead responds.
  • If a lead says no, archive them respectfully; don't damage your reputation.

A contractor with 50 active estimates can't remember each one. The system can. And when the system handles follow-up, the closer only handles responses.
